DATED City Clerk CI'Pf OF CHUIA ISTA CC-GGO August 17, 1988 TO: All Secretaries to Boards, Commissions and Committees FR: Jenni RE: ~/ Policy A of August 16, 1988, the City Council approved Resolution No. 13737 which sets forth the policy for absences of members on the B/C/Cs. Attached is a copy of this Resolution. Please schedule this as an agenda item for your next meeting and make copies for each of your members. No action need to be taken on this item - it is now a Council policy and the requirements are spelled out. Each member, however, should be aware of the policy and have a copy. You will note that the Policy became effective on July 1, 1988; therefore, you need to keep accurate records of the excused and unexcused absences. As stated in the Policy, once one of your -ombers reaches the 25% point, you or your Chairman must notify at member in writing that his/her seat will be vacated. That member then has the opportunity of replying to your B/C/C as the reason for his/her absences. If your B/C/C accepts the excuses, the member will stay "on board" - if however, you do not hear from the member within a reasonable time, you or your Chairman should then write a letter to the City Council (via the City Clerk) declaring the seat vacant. If you have any problems with this Policy, please call me and I will attempt to clarify Council's position. While we are still on the subject of your meetings, PLEASE adhere to the other Council policy whereby you must get your minutes in to the Council within 10 working days of your meeting. This, understandably, will be a draft or "unofficial" copy of your minutes. The City Council is quite concerned that they are receiving minutes that are almost six (6) weeks old! I have been asked to closely monitor this in the future, so if you do not want me calling you, SEND ME YOUR MINUTES! 131 5C COUNCIL POLICY CITY OF CHULA VISTA POLICY EFFECTIVE 8jECT NUMBER DATE PAGE Boards, Commissions, Committees (B/C/C) Absences llO-03 7/1/88 1 of 1 ADOPTED BY RESOLUTION NO.
