This event will be staged at 7:00 p.m. on Thursday, December 10, 1987. RECOMMENDATION: That Council accept the report and adopt the resolution authorizing the Mayor to sign an agreement with the Union Ice Company on behalf of the City. • BOARDS/COMMISSIONS RECOMMENDATION: Not applicable. DISCUSSION: The City's Annual Christmas Tree Lighting Ceremony is scheduled for Thursday evening, December 10, 1987, at 7:00 p.m. The event will be conducted in the Memorial Park 8ow1 area. The following is a list of activities planned for that evening. 1. Master and Mistress of Ceremony duties will be performed by Mr. Clark Anthony and Ms. Geni Cavitt, both media celebrities. 2. Christmas carols will be sung by the Bonita High School Barons Concert Choir and the Bonita Vista Junior High School mixed chorus. 3. Lighting of the City's Christmas Tree by Mayor Gregory R. Cox. 4. Visit by Santa Claus accompanied by the distribution of candy canes to youngsters present. 5. Separate snow piles located in the bowl area; one for small children with adult supervision, and one for older children. Both areas will be enclosed with fencing to facilitate better supervision by recreation staff and police reserves. • • Page 2, Item 15 Meeting Date~~7$7 The Christmas tree and Bowl building will be decorated by Parks and Recreation staff prior to the event, The Union Ice Company requires the City to execute an agreement (Attachment "A") for their supplies and service. The agreement includes a clause holding the company harmless for any damages or injuries caused by their product. A certificate of insurance will be provided to Union Ice Company, naming them as an additional insured. The anticipated cost of the tree lighting ceremony will be approximately $5,970, and is broken down as follows: 1. Cost of snow (crushed ice) $2,050 2, Cost of decorations, replacement bulbs, fencing material, and miscellaneous expenses 950 3. Cost of additional insurance 2,500 $~U In the event of rain, an alternate date for the ceremony will be Thursday, December 17, 1987, FISCAL IMPACT: $3,000 has been allocated in the non-departmental budget to • cover anticipated service and material costs. $2500 has been allocated in the insurance budget to cover the expense of required additional insurance. An exact cost on the additional insurance has not been determined at this time. The City's Risk Analyst is waiting for quotes from the broker.
