Approvi ng Change Order No.1, tree trimmi ng servi ce for FY 1987-88 contract, extendi n9 contract time and authorizing the Director of Public Works to execute the change order on behalf of the City ~ SUBMITTED BY: Director of Public Works City Manager.JL:' '7lY On March 1, 1988, the City Council, by Resolution No. 13468, awarded a contract in the amount of $99,496.68 to Davey Tree Surgery Company for tree trimming service for FY 87-88. Funding for the contract amounted to $110,432.03 and included the contract amount plus $10,935.35 in contingencies. REVIEWED BY: (4/5ths Vote: Yes No X ) -- The work is now completed without a need to use the contingency funds. Staff, therefore, recommends that 136 trees located within the Library park be trimmed as part of thi s contract. The contractor proposed to trim the 136 trees for $10,417.61 within a 60 working day period. . RECOMMENDATION: That Council adopt the resolution approving Change Order No.1; extending contract time (60 working days); and authorizing the Director of Public Works to execute it on behalf of the City. BOARDS/COMMISSIONS RECOMMENDATION: Not applicable. DISCUSSION: Davey Tree Surgery Company compl eted the tree trimmi ng servi ce for FY 1987-88 contract within the contract amount and time period. They accomplished their work in an excell ent manner, provi di ng the City with one of the best tree trimming services ever. At the conclusion of the contract work, the contingency fund balance was $10,935.35. Staff, therefore, obtained a proposal from Davey Tree Surgery Company to trim 136 trees located within the Library park. The proposal submitted by the contractor totals $10,417.61 and provides 60 working days to complete the work. These trees need to be trimmed. They were not included in the original bid because the cost estimate indicated that the budgeted funds would have been exceeded. The original bid as it turned out was 14% below the engineer's estimate. We, therefore, recommend that the 136 trees be added to the contract as there is sufficient funding available to cover the cost to trim the trees now. . FISCAL IMPACT: Proposed Change Order No. 1 amounts to $10,417.61. There are sufficient funds ($10,935.35) available in the contract's contingency fund to cover the cost of the change order.
