certain Personnel Department records

The Personnel Department has requested authorization to destroy
some unneeded records. Therefore, it is my
RECOMMENDATION: That Council:
1. Approve attached resolution.
BOARD/COMMISSION RECOMMENDATION: Not Applicable.
DISCUSSION
The Personnel Department formerly stored Personnel records in the
vault of the City Attorney's former office in the South Wing of
the Civic Center. Personnel reviewed those records at the time
the City Attorney's Office was moved and noted that many of them
were no longer needed; specifically, the records in question are
applications and work folders for examinations conducted more than
five years ago. The work folders contain the record of adver-
tising, interviews, examination scores, copies of tests, etc.
They are of no further use to the department largely because the
state of the art in testing requires different procedures than
were used at that time. The old applications serve no further
purpose either for affirmative action tracking or potential appli-
cant information.
FISCAL IMPACT: Not Applicable.

Destruction of Personnel Department Records

SUBJECT:
This office has reviewed the request for destruction of
applications and work folders for examinations conducted
more than five years ago, and approves of their destruction.
It appears that these records are of no further use to
the department because the state of the art in testing re-
quires different procedures than were used at that time.
The old applications serve no further purpose either for
affirmative action tracking or potential applicant infor-
mation.
