APPROVAL OF MINUTES Motion made by Trustee Canedo and seconded by Trustee Kalaluhi to approve the meeting minutes from May 20, 2015. Motion carried (5 -0). II. APPROVAL OF ABSENCE(S) A. Motion made by Chair Young and seconded by Trustee Canedo to approve the absences of Vice -Chair Mellor and Trustee Hernandez from the May 20, 2015 meeting. Motion carried (5 -0). III. NEW BUSINESS A. Election of Chair for FY 15 -16 Motion made by Vice -Chair Mellor and seconded by Trustee Kalaluhi to re -elect Brian Young as Chair for FY 15 -16. Motion carried (5 -0). B. Election of Vice -Chair for FY 15 -16 Motion made by Trustee Canedo and seconded by Trustee Hernandez to re -elect Elva Mellor as Vice -Chair for FY 15 -16. Motion carried (5 -0). IV. OLD BUSINESS — None 1 MINUTES BOARD OF LIBRARY TRUSTEES V. LIBRARY DIRECTOR'S REPORT A. Otay Sunday Opening and Expansion Senior Librarian position approved for FY 15 -16 budget. The recruitment will open on Wednesday, August 13th. We anticipate having the position filled in October. Targeted expansion of hours will begin on October 18th. The Library and The Hub will be opened on Sundays. Passport acceptance services will also be expanded. The dates & times have not been determined. The Friends received a Performing and Visual Arts Grant and will be presenting "Swing into the Library" at the October 18th opening. B. Chula Vista Charitable Foundation — Grant Awarded for "Parking Lot to Parklet" The Civic Center Branch Library parking lot will be redesigned to include a parklet - pop up park, event/program space, and pedestrian friendly path. C. Plans for Heritage Museum The reference stacks have been removed, the carpet replaced and the walls painted. The Chula Vista Retired Police Officers Association will be moved out by the end of the month. The existing building will be demolished by the City. Chair Young asked if there was a drawing for the new space. Director Waznis stated that staff is working with an interior designer and final plans have not been decided. The Friends of the Museum will commit to one exhibit a year, one public event a year and two hours of docent per month. They will also have one office space downstairs. D. Lunch with Literacy Components — Cooperation with State Library Program The program was very successful at both Civic and South. This year's program included literacy elements and nutritional information. Sprouts Markets Farmer donated fruits for the parents. E. PVAG Awarded — Friends of the Library's "Swing into the Library" This swing dancing event is scheduled for October 18th at the Otay Ranch Branch. F. Auditorium — Phase 1 is Underway (AN, Digital Renovation Plus Paint) — completion date is undetermined. 2 MINUTES BOARD OF LIBRARY TRUSTEES G. Orange Avenue Park — Tot Lot Nearing Completion Park is still fenced off. The dog park looks completed. The driveway onto Fourth Avenue has been re- opened. A grand opening date has not been determined. H. High Speed Broadband Project ( CENIC) Re -Opens The Library is on target to join phase 2 of the CENIC project. The ITS Department is on board. We are applying for a $30,000 grant. City manager is committed to help fund additional costs not covered by the grant. We hope to be up and running by December 31St. Only four cities from the Phase 1 project are up and running now. So the December 31St target date may be postponed. Star News Digitization Project Underway 199 microfilm reels have been shipped and received by Newspapers.com. As a partnership with Ancestry.com, they will digitize the Star News. The project is expected to take about six months to complete. The Library and Ancestry.com will have access to the digitized files for three years. After that time, the files will also be available to the public. J. 1000 Books Before Kindergarten — Kickoff Being Planned We challenge parents and caregivers to read 1000 books with your babies as they grow from birth to five. Experts agree that reading to your child is one of the most powerful and easiest ways to give your child a head start on kindergarten readiness. Colorful reading logs are available and there are milestone prizes. K. Possible Deck at North Comer of Library Mayor Casillas Salas would like to build a deck outside of the Library by the marketplace area. An engineering and feasibility report will be conducted. It is uncertain how much money is needed for the project. The new deck would allow for outdoor space for children's storytimes and other programs and events. VI. COMMUNICATIONS A. Friends of the Chula Vista Library - None B. Chula Vista Public Library Foundation — Director Waznis reported that the Foundation did very well at the annual fundraising event. Next year's event may be held at the Salt Creek Recreation Center. The last communication with Otay Ranch Town Center was that they will not be able to help us until they have a new marketing manager. C. Public Comments — None 3 MINUTES BOARD OF LIBRARY.TRUSTEES D. Written Comments — None E. Board Comments 1) Chair Young reported that he attended the Mayor's annual Boards and Commissions Recognition Event on June 29, 2015. 2) Chair Young asked about the status of the homeless situation. Director Waznis responded that staff is continuing to work with Lt. Mark Jones. Staff will invite Lt. Jones to a future Board meeting to discuss. 3) Trustee Hernandez asked about the joint meeting with the Friends and the Foundation. She would like pursue a meeting to get all the Library supporters together to strategize and discuss future goals for the Library. The Executive Board of the Friends meets on the second Tuesday of every other month, beginning at 4 pm. Their next meeting is scheduled for September 8t'. Vice -Chair Mellor and Trustee Hernandez volunteered to attend the next Friends meeting. The Foundation meets on the second Tuesday of every month, beginning at 12:30 pm. The August meeting has been cancelled. The next meeting is scheduled for September 8"'. The location of the meeting may be changed to the Salt Creek Recreation Center. Vice -Chair Mellor volunteered to attend the next Foundation meeting. 4) Trustee Canedo stated that he received notification from Congressman Vargas's office that there are free books available for the library. He will get additional information. 5) Vice -Chair Mellor stated that she would like to see more collaboration with the Chula Vista Elementary School District and the Library. She stated that the school district is missing a great resource by not using the Library resources. She would like to coordinate a meeting with the School Superintendent and Director Waznis. VII. ADJOURNMENT Meeting was adjourned by Chair Young at 5:20 p.m. The next Board of Library Trustees meeting will be on Wednesday, August 19, 2015, beginning at 4:00 p.m. at the Civic Center Branch Library.
