HomeMy WebLinkAboutAgenda Statement 1984/12/11 Item 13 COUNCIL AGENDA STATEMENT Item 13 Meeting Date 12/11/84 [TEM TITLE: Resolution 0y1 Authorizing the destruction of Council meeting tapes from 1973 through 1978 SUBMITTED BY:City Clerk !/ (4/5ths Vote: Yes No x ) This report transmits the recommendation of the City Clerk that Council, by resolution, authorize the destruction of meeting tapes which are in her custody and no longer required. RECOMMENDATION: Approve the resolution authorizing the the destruction of the tapes . DISCUSSION: There are approximately 200 tapes of City Council meetings (from the year 1973 through 1978) which are still being keptin the City Clerk's files . A survey of other cities in the County along with the State City Clerks ' Organization indicate there is no set rule for the preservation of tapes by the various cities . Some preserve their tapes for one year, others two years , and others destroy the tape immediately after the City Clerks has prepared her minutes . Since the tapes are being used as public records , City Attorney has issued an opinion that destruction be authorized by Council. It should be noted that tapes of significant interest will be preserved. The tapes will be erased and used again. A number of them will be given to the Planning and Community Development Department to supplement their supply .
