ITEM TITLE: Resolution /,1-33 V Approving an agreement with McGee
Maintenance and app opriating $3,030 for custodial maintenance
at Lauderbach Community Center
SUBMITTED BY: Director of Parks & {tecreation
REVIEWED BY: City Manager O (4/5ths Vote: Yes X No )
The former operators of the Lauderbach Community Center, the Metropolitan Area
Advisory Committee (MAAC) , has had an agreement for the past two (2) years
with McGee Maintenance to provide building custodial maintenance services at
the Lauderbach Community Center. With the annexation of the Montgomery area
to the City, this department has assumed responsibility for the operation of
the Center.
RECOMMENDATION: That Council adopt resolution.
BOARDS/COMMISSIONS RECOMMENDATION: Not applicable
DISCUSSION:
The MAAC Project's Agreement with McGee Maintenance to provide building
custodial maintenance services at the Lauderbach Community Center terminated
on December 31 , 1985. As a result of the Montgomery Area annexation the City
desires to renew the agreement with McGee Maintenance through the fiscal 85-86
year.
In preparation of the Montgomery operating budget, staff had limited
information regarding the existing custodial arrangement. The MAAC project
had contracted the custodial maintenance service to a private contractor, and
paid for these services from revenues generated from facility rentals.
In discussion with McGee Maintenance, they have expressed a desire to continue
the agreement with the City. The MAAC project has endorsed the quality of
maintenance provided by McGee Maintenance.
The Department recommends a six-month contract to allow staff time to evaluate
the quality of service. Award of the contract to McGee Maintenance will also
enable this department to make a smoother transition in providing service to
this Center.
The basic maintenance agreement requires McGee Maintenance to provide general
custodial services including emptying trash receptacles, cleaning and
sanitizing restrooms, furniture dusting, cleaning, mopping floors, carpets,
etc. These services will be done a minimum of three (3) times a week.

The City will be responsible for providing necessary materials such as
cleaning solvents, dust mops, wax, toilet sundry items, etc.
In addition, reservation groups will continue to be charged an additional $75
per rental function for clean-up. This money will be paid to McGee
Maintenance for the cleaning of the Center after major functions using the
Center's large social hall .
The current rental fee for the large social hall is $300 plus $125 cleaning
and damage deposit. The cleaning and damage deposit includes $75 for cleaning
and $50 damage deposit which is refundable if no damages occur.
FISCAL IMPACT: The agreement provides a contract amount of $3,030 to be
paid on an equal monthly basis. An additional $75 will be paid for rental
clean-ups after major social events involving the Center' s large social hall .
This money is included in the cleaning and damage deposit charged to the
facility user. Existing rental fees include this cleaning deposit to cover
the additional payment.
Revenue generated from the rental of this facility for the next six (6) months
is $4,500, thus covering the cost of custodial services.
