YOUNG, VICE-CHAIR ,/. BALNIS, TRUSTEES E. MELLOR AND A. RIGGS NONE LIBRARY DIRECTOR BETTY WAZNIS NONE Chair Young called the meeting to order at 4:07 p.m. I. APPROVAL OF MINUTES Motion made by Vice-Chair Balnis and seconded by Trustee Riggs to approve the meeting minutes from March 21, 2012. Motion carried. I1. NEW BUSINESS A. Summary of Activities Report At the end of fiscal year, each Board and Commission provides a summary report to the City Council. Chair Young suggested compiling a list of activities as a regular agenda item in order to capture all highlights of the Board during the fiscal year. This will expedite the end-year summary report process. Trustee Riggs requested copies of the last three years' reports for reference. Chair Young requested information on the Library's goals in order to coordinate them into the Board's report. Vice-Chair Balnis stated that he would like each member to include "community partnership" as a goal. III. LIBRARY DIRECTOR'S REPORT A. Library Department Budget Update MINUTES BOARD OF LIBRARY TRUSTEES Director Waznis informed the Board that the Library made some cuts for next fiscal year; however, service levels should not be affected. The department anticipates additional revenues from passport services and the new Otay Ranch Branch. MINUTES • BOARD OF LIBRARY TRUSTEES There are also a couple of anticipated retirements. The budget will be tight but we should be able to manage. The City will be holding a public meeting on Monday, May 14th at 6 pm to discuss next fiscal year's budget. The City Council budget workshop is scheduled for May 24th. Director Waznis will send email reminders to the Board members. Director Waznis also informed the Board that at the April 17th City Council meeting, they discussed the possibility of meeting with some boards and commissions either annually or biennially. No action or decision was made at the meeting. B. Recap of Otay Ranch Library Grand Opening Event Director Waznis thanked the Board for attending the event on April 14th and thanked Trustee Mellor for her guidance of outreach to the local elementary schools. The Library will continue to reach out to the schools for other programs, such as the Summer Reading Program. The San Diego Daily Transcript, My Hometown Magazine, Star News, San Diego Union Tribune, Channel 9 and Channel 10 News were all in attendance. The design and function of the facility and furnishings was very well received. • Group 4 Architecture suggested that we submit a request to the CA Library Association as a topic at the Conference in Anaheim to be held in June. The Library had approximately 900 patrons on the first day of business on April 17th C. CVPL Foundation Fundraising Event The annual fundraising event is scheduled for Saturday, April 28th. Director Waznis encouraged the Board members to attend. This is a fun and casual event with good food & wine and a silent auction. The Board will have the opportunity to meet the representatives of the Otay Ranch Town Center who have been very welcoming and helpful. D. Library Programs and Events 1. April Calendar of Events -There was a discussion on suggested format changes to the monthly calendar. Trustee Riggs offered to ask her brother-in-law (who is a graphics artist) to take a look at our calendar and recommend enhancements. 2. Debrief of School Lunch Program -The Civic Center and South Branches helped distribute over 500 lunches in eight days during Spring Break. It was a little more work than we expected, but we will try to do the same during the Summer Break. 3. Southwestern College Cooperative Program - SWC will offer a program in the • Library during the summer. Details are still being discussed with the group. 2 MINUTES • BOARD OF LIBRARY TRUSTEES 4. Campaign for Grade Level Reading -The City is continuing to work with the various committees to support this campaign. Trustee Mellor stated that very little information is shared with teachers regarding this initiative. Director Waznis will email the City's coordinator and relay Ms. Mellor's feedback. 5. Battle of the Books -The Ultimate battle was held on Monday, April 15th. Chula Vista Hills won the competition this year. The top three schools will be recognized under "Special Order of the Day" at the April 24th City Council meeting. Trophies will be presented to the schools. 6. String Quartet Concert Possibility -The Chula Vista High School Performing Arts Division requested the Library to host the String Quartet for some concerts in May. E. Other 1. Board of Library Trustees Vacancy The City has received only one application to-date. The department will provide information to the Board when the Mayor's office has an update. • IV. Board Comments 1. Chair Young thanked Director Waznis and staff for a successful and fun Grand Opening at the Otay Ranch Library. 2. Vice-Chair Balnis stated the Garden Club donated a beautiful floral arrangement for the event. 3. Trustee Mellor stated that she really enjoyed being at the Grand Opening and watching everyone have a good time. 4. Trustee Riggs stated the turnout was indicative of how much the community wanted the library out there. She also enjoyed watching everyone dancing and having fun. MINUTES BOARD OF LIBRARY TRUSTEES ADJOURNMENT Meeting was adjourned by Chair Young at 5:09 p.m. Next Regular Meeting scheduled for May 16, 2012 at 4:00 p.m. ~, V 4
